About classroom listing

Adding classrooms can help you report on how your space is used. When scheduling a class, you can enter where the class will take place on the location tab. The location is a free-form text box, allowing you to enter anything. However, using consistent classroom names aligning with the classrooms you establish in classroom listing allows you to report on rooms using SSRS reports. Campus Cafe delivers a room usage report in the base reports (Faculty > Base Reports > Registrar Reports > Room Used Listing) and customers may create additional reports.

In Campus Cafe, classrooms are tied to semesters, allowing you to modify characteristics of a classroom such as capacity to ensure they are in line with the room’s current state.

Add and edit classrooms

Create classroom listing

  1. Go to Registrar > Classrooms.

  2. Click New Record.

    • Semester: Select the semester the classroom is available for instruction.

    • Day: Enter a number that corresponds to day the classroom can be used.
      1 means Monday; 2 Tuesday; 3 Wednesday; 4 Thursday; 5 Friday; 6 Saturday; 7 Sunday.
      For example, if the room can be used on Wednesday, enter 3.
      If a room may be used multiple days, you’ll create a separate new record for each day.

    • Room: Enter the classroom exactly how you plan to enter it in the Course Information Location tab. For example, CB101

    • Description: A longer name for the room. For example, College Building 101.

    • Capacity: The number of seats available in the room.

    • Wall Type Code: A way to denote a classroom partition such as a partially opened classroom or a classroom with a wall that can be opened to combine rooms. Options set in STParm RRWACD.

    • Seating Code: The arrangement of seats in the room (e.g. desks, tables, auditorium). Options set in STParm RRSECD.

    • Audio Video Code: A way to denote the technical equipment available in the room. Options set in STParm RRAVCD.

    • Blackboard Code: A way to denote the instructor's writing instrument (e.g. chalkboard, whiteboard). Options set in STParm RRBBCD.

    • Phone Area: The area code of the phone number for the phone in the classroom.

    • Phone Exchange: The exchange portion of the phone number for the phone in the classroom.

    • Phone: The last portion of the phone number for the phone in the classroom.

    • Phone Extension: The extension of the phone number for the phone in the classroom

  3. Click Create.

Copy classrooms from one semester to another

When created, classrooms are tied to semesters to allow you to track changes to classrooms over time. If your classrooms remain largely the same from semester to semester, you can copy your classrooms to a future semester. You can later make adjustments to individual classrooms as needed.

Note

This process will delete all classrooms in the target semester if any exist.

  1. Go to Registrar > Classrooms.

  2. Click Copy Classrooms.

  3. Select the Source Semester representing the semester to copy classrooms from.

  4. Select the Target Semester representing the semester to copy classrooms to.

  5. Click Copy.

Edit a classroom

You can adjust a classroom’s code, name or characteristics if the room changes.

  1. Go to Registrar > Classrooms.

  2. Next to the classroom to change, select the checkbox.

  3. Click Edit Selected.

  4. Make your changes and click Update.
