Run the Degree Audit or What If Report

About

The degree audit evaluates a student’s courses against a set of degree requirements to provide the student’s progress toward completion. The platform also supports running a "what if" to apply the student's current courses to a different academic program and/or audit (catalog) year. Students, advisors and other authorized users may run a degree audit or what if. Degree audits can be run individually or in batch.

The requirements show on the degree audit align with those established for the student's degree audit semester (sometimes known as a catalog year). If no rules are established for the specific degree audit semester, the system will look backwards in semesters until it finds a valid semester. The student's degree audit semester is set on the student's degree row.

You can also report on data from the degree audits to find how many total students need each requirement. This can help you plan future class seat needs.

The Final Grade “Grade View Date” in Registration Control (Registrar > Registration Control) determines when individuals can view final grades. Classes with grades prior to that date will show as in progress on the degree audit unless the individual belongs to a permission group with permissions set to disregard Registration Control view grades dates.

Run an individual degree audit

  1. Go to the student’s profile.

  2. Click Student Degree.

  3. Click Degree Audit.

  4. Click Get Degree Audit.

  5. Campus Cafe generates a PDF with the audit.

Run a batch of degree audits

  1. Go to Filters > Students.

  2. Use the filters to select the desired population.
    For example, if you were attempting to project needed class seats for the following fall 2020 semester, you might select all students enrolled in spring 2020 whose expected degree expected semester is not equal to spring 2020 or summer 2020.

  3. Once the results load, select the check boxes next to the students to analyze.

  4. Click + Degree Audits > For All.

  5. Click Submit.

  6. Campus Cafe generates a PDF with the audits.

Reverse degree audit

The Reverse Degree Audit shows the unfilled requirements for a student population the user selects and relies on the degree audit. This tool can be helpful for seat planning and graduation auditing.

  1. Go to Filters > Students.

  2. Use the filters to select the desired population
    For example, if you were attempting to project needed class seats for the following fall 2020 semester, you might select all students enrolled in spring 2020 whose expected degree expected semester is not equal to spring 2020 or summer 2020.

  3. Once the results load, select the check boxes next to the students to analyze.

  4. Click + Degree Audits > For All.

  5. Select Create Degree Audit DB File.

  6. Click Submit.

  7. Campus Cafe generates a PDF with the audits.

  8. Go to Faculty/Staff > Base Reports.

  9. Click Registrar Reports > Reverse Degree Audit.

  10. In Enter Database Code enter your database code.

  11. For Select Detail Level to Display select Summary – One Row per Student that Shows every requirement. Under each requirement appears all students who have not met the requirement. 

  12. In Enter User ID enter your Campus Cafe ID number

  13. For Scheduled Semester(s) select blank.

  14. Select desired Majors.

  15. Click View Report.

  16. Optionally use the disc icon to download the report to Excel or other format.

Run a what if

The what if report applies the student's current academic record to a major and/or catalog (audit) year of your choosing. This is useful if a student is considering changing academic programs and wishes to see how their current work applies to the major under consideration.

  1. Go to the student’s profile.

  2. Click Student Degree.

  3. Click Degree Audit.

  4. Select an alternative major and optionally an alternative audit semester.If you don’t select an alternative semester, Campus Cafe uses the audit semester on the student’s degree row.

  5. Click Get Degree Audit.
