About recording test scores

As part of an application for admission your institution may receive and review scores from tests such as the SAT, ACT or Advanced Placement. If a student takes the same test multiple times, you can record each independent score.

Separately, you can use test scores as a prerequisite for enrollment in a course. For example, you may offer a math placement test and only students who score a certain score or above may take an advanced mathematics class.

You can record (add) test scores to a person’s record either through the person’s profile or by uploading a spreadsheet containing the scores.

Prerequisites

  • The tests (SAT, ACT, AP) must be set up prior to entering scores.

  • If uploading scores from a spreadsheet, set up column mappings.

  • If uploading scores from a spreadsheet and a person is created and you want to record their semester of their interest, the semester of interest must exist in Registration Control.

  • Set up in STParm using Parameter Code XXSCNO to define Secondary Source if using a spreadsheet to upload scores. A Secondary Source is optional and is more typically used to record information about how you generated a lead.

Record scores for individual

  1. Go to the person’s profile.

  2. Go Person Selected > Scores.

  3. In Score Type to Add select the test.

  4. Click Add.

  5. Enter, at a minimum, the Official Score. We also recommend you enter the Official Date of the scores so you can distinguish among scores if the individual takes the test multiple times. If you’ve configured the test to automatically fill the Official Date of the score the date will fill in after you save the score.

  6. Click Save.

Record scores using a spreadsheet

If you have a lot of scores, you can use a spreadsheet to upload them. To allow you to upload scores from a variety of sources, Campus Cafe lets you configure which columns contain which information.

Campus Cafe supports only one score per official score date. If a student takes the same test multiple times, ensure that the test date attempt (official score date) appears in the spreadsheet, so the new score is added to the individual’s record. Scores existing in Campus Café without official score dates will never be overridden by this upload process.

  1. Go to Admissions > Leads & Scores Upload.

  2. In Mapping select the file layout that matches the file you’re uploading. See related documentation on setting up file layouts.

  3. In Send results to this email address enter an email the results of the upload, including records unable to be matched to existing people, will be emailed to this address upon completion of the process.

  4. In Inquiry Semester optionally enter a semester. If a new person record is created, an inquiry will be created indicating the individual has expressed interest in this semester. The semester must exist in Registration Control.

  5. In Progress Code select an admission progress code. For scores with people not already in Campus Cafe, we create a new record and assign the admissions progress code selected here. Only progress codes L (lead) and I (inquired) are supported. The admissions progress codes of existing individuals will remain the same.

  6. In (Source) Tracking Template optionally select an activity. Individuals uploaded will have this activity assigned to their record.

  7. Second Tracking Form optionally select an additional activity: Individuals uploaded will have this activity assigned to their record.

  8. Score Type: select the test (e.g. SAT, ACT, AP, etc.).

  9. Secondary Source: The Campus Cafe code that will be entered in the Source field on the activity assigned. Codes are defined using STParm XXSCNO.

  10. Click Browse and select the file containing the scores.

  11. Click Submit. The process will run in the background. You may leave the page or log out of Campus Cafe. An email will be sent when the process completes.
