About Course Rosters
Course (class) rosters display students associated a section of a course.
Course Roster Configuration
Permissions can be set to hide or show data elements such as ID number (permission #1136), preferred pronoun (#1259) and gender identity (#1255) associated with each student.Â
If Custom Control CRSRSTPENC is set to Y then a pencil icon will appear next to fields on the roster that the logged in user can edit. Setting this control to Y will facilitate the ability of instructors to enter grades and record attendance on mobile devices or tablets.
If Custom Control CRSRSTNICK is set to Y then a student's nick name will appear on the course roster in place of their first name
If Custom Control MSParm DISPLAY_SEMESTER_CODE-1-1 = N, Semester Code will be hidden from Course RostersÂ
If Custom Control CRS LISTING INSTR NAME 1-1 = Y, instructor’s full first and last name will be displayed on the Course Roster search result page, the Public Course Listing Page, the Registration Course Listing page, and the Faculty Dashboard. If CRS LISTING INSTR NAME = N, the Instructor’s first initial and last name will be displayed.
Access Course Roster as AdministratorÂ
For a semester to show on the drop down, it must be set as active in Registration Control. (Permission #670, which typically allows the user to see all semesters regardless of if they are active, does not apply.)
Navigate to Faculty/Staff > Course Rosters
Choose a semester
Click Submit
Click Roster next to the desired class
Access Course Rosters from Faculty Dashboard
If not already on the Faculty dashboard, switch to the faculty dashboard
Click Roster next to the desired class
Class Roster Behavior
Students dropped from a class without a withdrawal grade will be removed completely from the roster. A record of the drop is retained in the student's Enrollment History.
Students dropped from a class with a withdrawal grade will remain on the roster with Withdrawn noted under the Status column. A record of the drop is retained in the student's Enrollment History.
A student who has joined the waitlist for a class will appear on the roster with a + icon under the Status column. Provided the user has permission, the + icon can be clicked to add the student to the class.
If a student's middle name and nick name match (case sensitive) the middle name will be suppressed on the roster.Â
Class Roster Actions
From the class roster, a user with sufficient permissions may choose to run a number of actions by clicking the associated button under Actions.
Email some or all of the class
Text some or all of the class (dependent on third-party integration with MessageMedia)
Add Alerts (dependent on workflows/activities existing)
Create a gallery view of photos of students
Run reports related to attendance
Alternative Method of Viewing Course Rosters: Student Finder
Using the Student Finder, you can select a population of students and return all of their enrollments. This method will show only enrolled and withdrawn students. Drops will not be displayed.
Navigate to Filters > Students OR Main Menu > Student > Student Finder
Click Expand Filters
In the Course Semester box choose the semester(s) for which to capture enrollments
Tip: If the Course Semester box does not appear, in the upper right click Hide/Show Fields and select Course SemesterOptionally in the Course Number box choose the course(s) to narrow the results to students enrolled in the specified course(s)
Optionally set any additional criteriaÂ
Optionally increase the # of Results and # Per Page
Click Submit; students meeting the criteria appear
To view course-level data, under Actions click Enroll Listing
Alternative Method of Viewing Course Rosters: Base Reports
Using Base Reports, you can return a list of all enrollments narrowed by semester, financial grade and student site. This method will show only enrolled and withdrawn students. Drops will not be displayed.Â
 Navigate to Faculty/Staff > Base Reports
 Click the Registrar Folder
Click the report Enrollments by Semester or Enrollments with Final Grade Filter
