About student status history 

Status codes are used to record information regarding a student each semester. For example, leave of absence, dean's list, academic probation, and other notations regarding the student’s academic record. You can optionally configure a status code to appear on the transcripts of students for whom you apply the code.

Semester status codes are attached to a student’s degree level, allowing you to differentiate actions that occurred during different parts of a student’s time at your institution. For example, you can attached dean’s list to a student’s undergraduate degree level, then, when they become a graduate student, attach graduate fellowship to their graduate degree level.

You can apply a status code to an individual student or to a group of students.

Apply a status to one student

You can apply a status to an individual students, giving you flexibility to accommodate your business practices. For example, you want to record who the student government selected as class president.

  1. Go to the student’s profile.

  2. Go to Person Selected > Status History.

  3. In Semester select the academic period for which the status applies.

  4. In Degree Level select the student’s academic career to apply the status to.

  5. In Status Code select the status.

  6. Click Add.

  7. Optionally in Status Date enter the date the status began (appears on transcript if code configured to show on transcript).

  8. Optionally in Status End Date enter the date the status ceased or will cease (appears on transcript if code configured to show on transcript).

    We record that the student starts her class presidency on January 15, 2024 and ends it on May 25, 2024.

  9. Optionally enter a Transcript Comment (appears on transcript if code configured to show on transcript).

  10. Click Save.

Apply a status to multiple students

You may need to apply the same status code to a group of students. For example, you want to record dean’s list for all students who earned a 3.8 or above last semester. Using the Student Finder, you can identify these students and then apply the appropriate status.

  1. Go to Filters > Students.

  2. Use the filters to select the students whom the status will apply. For example, you may use the Single Semester and Single Semester GPA filters to find all students with a GPA of 3.8 or above in a specific semester. Alternatively, you can import a list of student ID numbers if you’ve captured your student group outside of Campus Cafe.

  3. Select (check) the student(s) to apply the status.

  4. Click the +Status > For All.

  5.  In Status Code select the status. For example, dean’s list.

  6. In Semester select the academic period for the status.

  7. In Degree Level select the academic career associated with the status and students. For example, undergraduate.

  8. Optionally in Status Date enter the date the status began (appears on transcript if code configured to show on transcript).

  9. Optionally in Status End Date enter the date the status ceased or will cease (appears on transcript if code configured to show on transcript).

  10. Optionally enter a Transcript Comment (appears on transcript if code configured to show on transcript).

  11. Click Submit.

Find students with specific status

Using the Student Finder you can find all students with a specific status. For example you could identify all students who made dean’s list a specific semester or all students who had a status of leave of absence between two dates.

  1. Go to Filters > Students.

  2. Under Build Fields click Add Filters.

  3. Select the Academic Status, optionally select additional fields you wish to filter by then click Apply.

  4. In Academic Status Code select the status.

  5. Optionally select a specific Academic Status Semester or Academic Status From and Academic Status To dates. By using the dates, you can create a date range and return all students with a status between those dates. For example, all students on leave between two dates.

  6. Click Submit.
