About assigning student-specific billing rules

Billing Charges lets you create billing rules that apply broadly to students. For example, you can charge $100 a credit to all English majors and $150 a credit to all civil engineering majors.

A student-specific billing rule assigned to a student further refines the criteria. For example, the overall billing rule charges $100 a credit to all English majors, but a student-specific billing rule adds an additional $75 charge for English majors who are exchange students. Exchange students have the rule applied in their session data.

Another example may be levelized, grandfathered or guaranteed tuition where the tuition structure is the same but the amount depends on when the student entered your institution.

Each student can have exactly one rule per semester, but the same rule may be applied to multiple students. 

Custom rules may only be utilized with the Billing Charges interface; they are not supported on the legacy Billing Rules interface.

Assign billing rule to student

Billing rules are assigned by semester, allowing you to apply the rule to a student during one academic period but not another. For example, a student may only have an exchange student charge applied during the semesters they are studying abroad.

  1. Go the student’s profile.

  2. Go to Person Selected > Session Data.

  3. Next to the semester to apply the rule, click the pencil.

  4. In Billing Rule Code select the rule name.

  5. Click Save. Campus Cafe assess the charge when you run group billing.

Assign billing rule to group of students

You can apply a student-specific billing rule to a group of students. For example, all students from a particular state or those you upload to the student finder via a spreadsheet. The spreadsheet upload allows you to capture a population of students not otherwise tracked in Campus Cafe, for example, students who are participating in a week-long travel experience.

  1. Go to Filters > Students.

  2. Use the filters to select the students to assign the rule.
    Tip: As an alternative to the filters, you may upload a list of IDs by clicking Browse, selecting your file then clicking Add Ids to Filter.

  3. Click +Billing Rule > For All.

  4. Select a Billing Semester. The rule will apply to this semester.

  5. Select a Billing Rule.

  6. Click Submit.

  7. Campus Cafe shows student(s) for which the billing rule was applied and for those which it couldn’t assign the rule. For students where a billing rule already exists, Campus Cafe shows a checkbox for each student. To override the existing rule, select the checkbox(s) for the student(s) to override and click Re-submit.
