Main menu

The main menu appears on the left of the screen. Clicking the right arrow will expand the menu to include the individual menu items.

The search box at the top of the screen allows you to search globally for all people, whether applicants, students, alumni, faculty or staff. The search box will search the entire system, regardless of any permissions that may limit the user to a specific module of the system. Users must be in the faculty/staff module and belong to a permission group with permission #1242 to see the search box.

Configure search for name and/or ID number

ID numbers are preferenced over Phone Numbers in search results (e.g. ID 1234 will appear at the top of the results over any phone number with 1234 in order in the result). Similarly, start and end of first/nick name and last name will be preferenced over the same string found within a name (e.g. a search for Liam will preference names Liam and William over Williamson.) Emails are always preferenced below First/Nick/Last name results (e.g. John will preference a person named John/Johnson over the email address john@email.net)

You can configure the search to look for a person’s name and/or ID number. For institutions with many records, Campus Cafe recommends setting to search only ID numbers to improve performance.

This is a system-wide setting that applies to all users.

  1. Go to Admin > Custom Control.

  2. In Search enter SEARCHBOX.

  3. Click the pencil.

  4. In Parameter Value 1 to search by name and/or ID enter Y. To search by ID only enter N.

  5. Click Save.

If the search box is configured to search names, you can find names if you search for any of the following:

  • First name

  • Last name

  • First name [space] last name

  • Last name [space] first name

  • Mobile Phone Number (digits only, no non-numeric characters, international format supported)

  • Home Phone Number (digits only, no non-numeric characters, international format supported)

  • Email address

Configure search for nicknames

You can tell Campus Cafe to also search based on nickname. Turning this option on isn’t recommend if you have a large number of records.

  • Nickname [space] Last Name

  • Last Name [comma] Nickname

This is a system-wide setting that applies to all users.

  1. Go to Admin > Custom Control.

  2. In Search enter CRSRSTNICK .

  3. Click the pencil.

  4. In Parameter Value 1 enter Y.

  5. Click Save.

Configure search to show photos

You can configure search to show photos alongside the resulting names. If you have lots of records, Campus Cafe recommends disabling photos to improve performance.

This is a system-wide setting that applies to all users.

  1. Go to Admin > Custom Control.

  2. In Search enter SEARCHBOX.

  3. Click the pencil.

  4. In Parameter Value 2 to show photos leave the box empty. To hide photos enter Y.

  5. Click Save.

Quick launchers

Quick launchers allow you to enter an individual’s ID number, first name and/or last name and jump to a specific record.

  • All People: all individuals in the database

  • Prospects: inquiries and applicants

  • Students: individuals considered students

  • Parents: individuals labeled as parents

  • Faculty: includes faculty and staff

  • Alumni: individuals labeled as alumni

Filters (Finders)

Filters, also known as finders, return results based on multiple criteria. For example, you may wish to see all students enrolled in the Spring 2024 term whose home state is Rhode Island. The Filters button at the top of the screen allows you to quickly jump to a specific record.

  • All People: all individuals in the database

  • Prospects: inquiries and applicants

  • Activities: all activities, results limited by tracking permissions

  • Schools: schools (used on applications and for transfer credit)

  • Students: individuals considered students

  • Parents: individuals labeled as parents

  • Courses: the course catalog and schedule of courses

  • Majors: academic programs

  • Financial Aid Disbursement: financial aid awards

  • Faculty: includes faculty and staff

  • Alumni: individuals labeled as alumni

  • Activities: activities associated with alumni

  • Organizations: organizations associated alumni or sponsored billing

  • Donations: contributions to your institution

  • Gifts: contributions organized by campaign

Help (?) icon

Clicking the question mark in the upper right will bring you to the Campus Cafe Knowledge Base. The Knowledge Base is designed for administrative users of the system. As such, Campus Cafe recommends hiding this icon for students and faculty.
