Admissions Cycle

About the Admissions Cycle

Campus Cafe allows an individual (prospect) to move from an expression of interest in your institution (inquiry) to a formal application for admission to a committed student.

To track the individual, Campus Cafe assigns each prospect an admissions progress code. Once an individual or institutional staff member completes an inquiry form, a profile for the prospect is created in the system and the prospect labeled with an admissions progress code of Inquired. The submission of an admissions application automatically changes the admissions progress code to Applied. The institution then must make a decision on whether the applicant meets eligibility guidelines for admission into the institution. If so, the institution changes the progress code to Accepted, if not, to Applied, Rejected.

Once admitted, some institutions require a monetary deposit for the applicant to guarantee their spot in the upcoming class. If the applicant deposits and completes other necessary requirements to secure his or her her spot (such as signing an enrollment agreement), the admissions progress code is adjusted to Deposited. If payment processing is configured, Campus Cafe can be set to automatically adjust the progress code to deposited if the deposit is made through Campus Cafe. If the applicant does not deposit the institution should adjust the progress code to Accepted, Withdrawn.

Campus Cafe supports one inquiry, application and admissions progress code at a time. There is not a function to change admissions progress codes at once for a group of students.

The admissions progress code is separate from the degree status. The degree status is used once a student is admitted or deposited to track their overall academic status such as whether he or she is enrolled, on a leave of absence, withdrawn or graduated.
