About counselor assignment

An admissions counselor is responsible for managing the application of the applicant. If round robin counselor assignment is configured the counselor will be assigned upon application submission. Counselors assigned by round robin can always be overridden.

Prerequisites

• Create admissions counselors.

• Set maximum number of prospects that can be reassigned in a batch to an admissions counselor.

1. Go to Admin > Custom Control.

2. In Search enter COUNSASSIG.

3. Click the pencil.

4. In Parameter Value 1 enter the maximum number of prospects that can be assigned to an admissions counselor during one batch process.

Required permissions

Manual assignment of admission counselor to single prospect

1. Go the the person’s profile.

2. Click Admissions.

3. Click the Inquiry Date or the Application Date.

4. In Admissions Counselor select the desired counselor.

5. Click Save.

Manual assignment of admission counselor to batch of (multiple) prospects

You may need to reassign a group of prospects to a counselor. For example, maybe an admissions counselor leaves your institution and you want to assign the students to a different counselor.

1.  Go to Filters > Prospects.

2. Use the filters to return the desired prospect to assign a admissions counselor (or upload a list of IDs using the Browse button to select the file containing IDs and then click Add Ids to Filter).

3. For those to assign to a new counselor, select the box on their row. If you don’t see a checkbox, click Column Visibility and click Selected.

4. Click +Update Counselor.

5. Click For Page to assign the counselor to the current page of selected results or click For All to assign the counselor to the entire selected result set.

6. In Update Batch to Counselor, select the new admissions counselor.

7. Click Update Counselor For Batch.
