About placing students in the advancement module

For individuals to appear in the advancement module, they must be explicitly assigned to the module. You may limit the population to only those students who graduated, or may choose to put graduates as well as other students in the module. For example, you may consider anyone who has completed at least 30 credits at your institution alumni, even if they never earned a degree.

Prerequisites

  • Set up in STParm using Parameter Code MMCONS to define consistency codes. For example, you may have a code simply called students. Or you may want more refined categories such as graduate, non-graduate alumni and honorary degree.

You can also use this process to confer degrees. Ensure access to this process is restricted to individuals properly trained.

  1. Go Filters > Students.

  2. Click Expand Filters and use the filters to return the individuals to place in the advancement module.
    Tip: To move graduates, use the Degree Status filter to return only those who have been conferred (Y); also optionally use the Degree Granted Date filters to select a group of students who graduated within a specific date range.

  3. Click + Create Alumni > For All.

  4. A new screen opens. To only move the students to the advancement module, don’t select or enter data for Degree Status, Degree Status Date or Degree Granted as selecting these will modify the selected individuals actual degrees.

  5. Optionally enter a Class of such as 2024 that the individuals selected identify with. This may not be the year they graduated. For example, you allow students conferred at the end of your fall 2023 semester to walk in Commencement that occurs in spring 2024. These fall graduates identify with the class of 2024, not 2023.

  6. Optionally select Consit Codes. These constituent codes let you further categorize advancement for later reference or reporting.

  7. Click Submit.

  8. Wait for the process to complete before navigating away from the screen.
