Billing: Find Students with Balances Due
Find all students who owe money with or without assuming pending financial aid is disbursed.
You need to send students billing statements, send students with overdue to collections, estimate bad debt, restrict students with overdue debt from further registration or otherwise sanction accounts.
Considerations
Do you want to see students whose financial aid are expected to cover their balance?
Have you written off old balances?
Start with a pre-built filter
Use this as a starting point. You can add fields to further narrow students returned.
While this filter will show any student with a balance, you may want to only find students with balances overdue. For that, use a base report.
If you don’t see this filter your institution may have renamed or modified it. You can build it from the example below or open a Campus Cafe support ticket and request it.
Go to Filters > Students.
In All Users select ZCC Balance Due.
Click Filters.
Enter either the minimum Amount Due OR Actual Cash Balance.
Amount Due assumes that outstanding financial aid will be disbursed. It subtracts the loan origination fee in the student's individual financial aid award. This is different from the billing statement that generates the origination fee based on the date of the student's first disbursement and fees supplied by Campus Cafe. For this reason, there may be differences between the amount due shown on the finder column and the billing statement.
Actual Cash Balance assumes no outstanding financial aid will be disbursed.
Click Submit.
Add criteria
You can further narrow your results by selecting Add Fields, searching for the field name and selecting it.
Old Account Code to show or exclude students whom you’ve marked as noncollectable.
Build results
You can show additional information alongside the results by selecting Column Visibility, searching for the field name and selecting it.
Pending to show the amount of financial aid you’ve labeled as “pending” for the student.
Verified to show the amount of financial aid you’ve labeled as “verified” for the student.
Home Address1, Home City, Home State, Home Zip, Home Phone, Mobile Phone for contact information.
Actions to consider
You can take action with the results.
Click +Add Fees to assess a fee like a late payment fee.
Click +Holds to add a hold blocking transcripts or class registration.
SSRS base report for additional data
You must launch the AR Aging process prior to launching this report.
Use this base report to identify students who owe a balance and see how long the balance has been outstanding.
Go to Faculty/Staff > Base Reports > Billing and Accounts Receivable > AR Aging.
In Enter Ending Date from AR Aging Processor enter today’s date.
Select the Site Numbers for which to include students. Your sites may be physical such as different campuses or program-based such as a day program and a night program.
In Select Account Code(s) choose whether to include written off accounts.
Choose whether to limit your results to specific fiscal sponsors, which are individuals or organizations that are anticipated to pay a student’s bill. For example, a scholarship agency, employer or a foreign government.
Click View Report.
