Find recent graduates.
You need to report graduate demographics, convert these individuals into the alumni module or send them a communication.
Considerations
Do you want only those officially marked as “conferred” or do you also wish to include those you’ve marked as “completed?” Typically, completed students are those who have finished all their graduation requirements but are not yet officially awarded their degrees.
While the most recent semester may be over, have you completed officially graduating students in Campus Cafe yet? Do you complete records all at once or in waves? What about if a student is officially conferred well after the rest of their class?
Start with a pre-built filter
Use this as a starting point. You can add fields to further narrow students returned.
If you don’t see this filter your institution may have renamed or modified it. You can build it from the example below or open a Campus Cafe support ticket and request it.
This will only search a student’s most recent Campus Cafe degree row meaning if a student previously graduated and is now enrolled, they won’t appear. To find all graduates, use the SSRS base report.
Go to Filters > Students.
In All Users select ZCC Graduates.
Click Filters.
By default, the filter excludes students in “completed” status. To include them, click next to Degree Status click the three horizontal lines, select Completed and click Apply.
By default, the filter shows all graduates since 1/1/2000. You may adjust the Degree Granted Date to include students who graduated since a certain date or between certain dates.
This would show all students who graduated on or after January 1, 2000. Notice the operator is >= (greater than or equal to).This would show all students who graduated between September 1, 2024 and December 31, 2024. Notice the first operator is >= (greater than or equal to) and the second is <= (less than or equal to).Click Submit.
Add criteria
You can further narrow your results by selecting Add Fields, searching for the field name and selecting it.
Degree Level to narrow results to an academic career such as just undergraduate or graduate students.
Degree majors to narrow the results to students who graduated certain major(s).
Site Code to narrow the results to only those graduates from a specific site. Your sites may be physical such as different campuses or program-based such as a day program and a night program.
Build results
You can show additional information alongside the results. Click Column Visibility to select additional fields.
Degree Begin Sem Decoded shows when the student started the degree.
Degree Major shows the graduate’s first major.
Gender, Home State, Racial Background Decoded to show demographic information.
Actions to consider
You can take action with the results.
Click +Create Alumni to includes these individuals in the alumni module.
SSRS base report for additional data
While the filter lets you see who graduated, it only looks at the most recent degree and you may want all graduates. If so, use this base report.
Students appear on this report based on the date in the Date Granted box on a student’s Degree Detail. Students appear regardless of degree Status (conferred, completed, enrolled, etc.) under the assumption that all students with a filled in Date Granted graduated.
Running this report with the default Start of Degree Granted Date Range as 1/1/1900 returns all students, including those who didn’t graduate.
Go to Faculty/Staff > Base Reports > Registrar’s Reports > Degree History Listing.
Select the Entering Semesters. We recommend you select all semesters to ensure you capture all graduates.
Select Sites, which may be physical or programmatic. We recommend you select all sites to ensure you capture all graduates. The results include student sites so you can later count graduates by site.
Select Programs(s)/Majors(s). We recommend you select all programs to ensure you capture all graduates.
Select the Start of Degree Granted Date Range. Students with a Date Granted on or after this day will show.
IMPORTANT: If you use the default 1/1/1900 as the start date, you’ll return all students, even those who didn’t graduate. (This allows you to use the report to also track students who didn’t graduate.)Select the End of Degree Granted Date. Students with a Date Granted after this date won’t show on the report.
In Only Display Internal Degrees select Yes to show only degrees your institution has awarded.
In Enter User ID from Student Finder (Negates other Filters) enter -1.
In this example, we would return all students who graduated on or between 9/1/2024 and 12/31/2024 based on the Date Granted date on their degree detail.Click View Report..
